Create a password for the application on Gmail #
This guide takes you step by step through the simple process of creating an app password in Gmail. App passwords are special, unique passwords that enable secure and safe access to your Gmail account from third-party applications and services. By creating an app password, you ensure a reliable connection when setting up email on new devices or integrating Gmail with other services. Follow the steps below to easily generate an App password and ensure secure access to your account.
Step 1. Manage your account #
In your browser, locate your profile picture in the top-right corner. Click on it and select the option labeled Manage your Google Account. Then, click on that option.
Step 2. Access the Security and 2-Step Verification section #
Select the Security option from the sidebar and scroll down until you find the 2-Step Verification section.
Step 3. App passwords #
Once the verification is complete, go to the top of the homepage, and in the Search Google Account field, type App Password and click on it.
Step 4. App name #
Now, enter a name for the app in the App name field, such as accountingSuite or any name of your choice, and then click Create.
Step 5. Generated app password #
A pop-up window will appear with a password that you need to enter in the credentials field. Do not close the window before copying the password, as Google shows the app password only once.
Email settings #
Step 1. Navigating to email account settings in AccountingSuite #
- In AccountingSuite, email settings are configured in the menu Admin Panel –> Organizer –> Email accounts.
- In the Email accounts section, click on Create.
Step 2. Setup email settings in AccountingSuite #
- Enter the Email address and Password – this is the generated app password.
- Specify the purposes for which the email will be used. To do this, check one or both boxes: To send mail and To receive mail.
- Choose who will be able to use the account: For all users or For me only.
- Enter the Sender’s name.
- Click the Create button, and the settings verification will begin.
Manual settings #
You can configuring email settings manually click your Email account. There is a screenshot showing how the settings look. Please follow the setup details in the screenshot to ensure you replicate the settings correctly on your own email service. By doing this, you can ensure the email configuration is correctly set up and functioning as intended. You can chose SMTP/IMAP type of your email service, change Port settings.
Sent a message #
If you want to send a message to the customer via email from AccountingSuite, open the document or print form, for example, the Sales Invoice, and then click Send by email button.
Select the attachment format and click Select.
In AccountingSuite, a window will open to Send message. In the To field, enter the recipient’s email address. You can also add a Subject and compose the message. Once ready, click the Send button to send the email from AccountingSuite.
The next image demonstrates how the sent email containing the Invoice appears once it reaches the customer’s inbox. This visual representation acts as confirmation that the document has been successfully delivered and provides insight into how the customer will view it.
